Add an email alias in Google Workspace

To add an email alias in Google Workspace, open the user in the Google Admin console, click Add Alternate Emails, type the new address, and save. An alias is an extra address for an existing user. Mail sent to info@yourbusiness.com or sales@yourbusiness.com arrives in that person's normal inbox, so you can publish role addresses without paying for more accounts or checking more inboxes.

Aliases also help when someone leaves: delete their account, then add their old address as an alias for a colleague so customers' emails still reach someone.

Before you start

  • You need to sign in to the Google Admin console as an administrator.
  • Each alias belongs to one user. If several people need to read the same address, use a Google group or shared inbox instead.
  • You can't use an alias that's already the address of an account in your organization.
  • Each user can have up to 30 aliases at no extra cost.
  • You can't sign in with an alias. It only receives (and can send) mail.

Add an alias

  1. Sign in to the Google Admin console.
  2. Go to Menu → Directory → Users.
  3. Click the person's name to open their account page.
  4. On the left, under their name, click Add Alternate Emails.
  5. Under Alternate email, type the part of the address before the @, like info. If your organization has more than one domain, pick the domain.
  6. Click Save.

The alias usually works within minutes, but Google allows up to 24 hours.

How do I send email from the alias?

An alias receives mail straight away, but replies still come from the person's main address until they add the alias in Gmail as a Send mail as address (Gmail Settings → Accounts). Each person does this in their own Gmail. Google's help article "Send emails from a different address or alias" has the steps.

Remove an alias

  1. In the Admin console, go to Menu → Directory → Users and open the person's account page.
  2. Click Add Alternate Emails.
  3. Click Remove next to the alias, then Save.

If there's no Remove next to an address, it comes from a domain alias that applies to everyone, and has to be removed with the domain.
